Choose automation by the work it removes

Field service software can reduce repeated admin work: following up on quotes, reminding customers about invoices, recording call details or helping dispatchers assign jobs. Some of these features are fixed rules; others use AI to interpret a request or suggest a decision. Neither label proves that a tool fits your business.

This guide combines our automation roundup and HVAC AI guide. QuoteIQ, Jobber, Housecall Pro and ServiceTitan remain the candidates, but the comparison now separates documented capabilities, plan limits and the checks you should make. These are desk-researched examples, not hands-on rankings or guaranteed savings.

Rules-based automation vs AI

A rule such as “remind the customer when this invoice is overdue” has a defined trigger and action. AI may interpret a voice request, answer a customer call or suggest which technician should take a job. Both can be useful. AI output needs closer checking when it changes a schedule, gives a price or communicates with a customer.

Start with a repeated task you can measure. Record how often it happens, how long it takes and where mistakes occur. Compare the full software cost with the improvement after a small trial. Do not assume a fixed number of hours, dollars or percentage gains from a vendor label.

QuoteIQ: conversational CRM actions and quote tools

QuoteIQ describes AI Autopilot, labelled “Ask AI” in the app, as voice/text control for customer records, schedules, estimates, invoices, communications and reports. It also documents a photo-based AI Estimator and an AI Virtual Call Team. These capabilities make it worth testing for a home service business with repeated quoting and customer-record tasks, including HVAC.

Important limits: AI actions consume monthly IQ Credits and the vendor says their cost is shown for confirmation before execution. Autopilot operates within the signed-in user’s permissions. The Virtual Call Team answers and qualifies calls but the current Autopilot page explicitly says it does not place bookings on the calendar. Customer self-booking and self-quoting are separate InstaSchedule and InstaQuote features on Elite and above. Do not treat all of these as included entry-plan capabilities.

Pricing: the official help center lists Essentials at $29.99 per month for one user, Pro at $149.99 for four users, Elite at $299 for ten users and Max at $699 with unlimited users. Annual rates differ; feature and credit allowances vary. Older source posts’ $250/$400 higher-tier prices are not current. The official pages also disagree on the count of Autopilot tools, so feature names and a live demo are more useful than that count.

Demo focus: create a draft estimate for a real service, check quantities and pricing, then test a schedule change without allowing a live customer send. Ask the vendor to show what is previewed, who can approve it and how errors are corrected. Check QuickBooks, messages, phone costs and credit top-ups in the package you actually want. Jobber: quote and invoice follow-up, with AI call handling available

Jobber’s automation documentation lists quote follow-ups, invoice follow-ups, automatic archiving, draft quotes from new requests and high-value quote alerts. It also describes a custom trigger/condition/action builder on select plans. Quote and invoice follow-ups are documented for Connect and above, not every entry subscription.

Jobber also documents Receptionist, an AI call/text feature that answers questions, captures requests, books visits and can transfer calls. Confirm its availability, configuration and price separately from a basic FSM subscription. Older source posts that describe Jobber’s AI only as “emerging” no longer give a useful picture.

Pricing: Core starts from $29 per month for one user on annual billing, but that is not the price for all automation or Receptionist features. Ask for the exact plan and add-ons.

Demo focus: test a quote reminder and an overdue-invoice reminder with a sample contact. Check the recipient, timing, wording and stop condition. For Receptionist, test a normal booking, an unclear request and a call that should go to a person. Read the Jobber review.

Housecall Pro: everyday service workflows and CSR AI

Housecall Pro’s plan table covers booking, dispatch, quotes, invoices and payments, with other features depending on the plan. Its CSR AI documentation describes answering customer calls, summaries, call logs and configurable escalation/after-hours handling. This makes it a candidate when missed calls and the handoff to the office are the problem you want to solve.

Availability caveat: the official CSR AI help page mixes “coming soon” wording for booking/texts with booking permissions and a dashboard that describes booked jobs. Do not infer that every account has the same rollout. Have Housecall Pro demonstrate live booking, rescheduling and texting in the package offered to you.

Pricing: Basic is advertised from $59 per month for one user on annual billing. CSR AI and other modules need a separate feature/price check; the old $80 starting estimate and blanket “full automation” price are not a reliable package quote.

Demo focus: call with a routine service request, a pricing question and an urgent problem. Check the summary, the next step and whether escalation reaches your on-call person. A call that sounds natural is not enough if it records the wrong address or promises the wrong service. Read the Housecall Pro review.

ServiceTitan: dispatch suggestions or automatic assignment

ServiceTitan’s Dispatch Pro documentation describes Assist Mode, where dispatchers review and approve suggestions, and Auto Mode, where it assigns technicians. It uses job value predictions, technician history, skills, zones, shifts and drive-time settings. This is a more specific basis for a comparison than a general claim that ServiceTitan has “enterprise AI.”

Important limits: Dispatch Pro uses managed technicians, requires configuration and permissions, and benefits from historical data. Quote the Pro package and implementation separately. A new business with little clean job history should ask how the product will perform in its actual starting state.

Demo focus: start with Assist Mode and run a day containing a maintenance visit, an emergency call and a job needing a specific skill. Check why each assignment is suggested, who can override it and what happens when a technician is unavailable. Obtain a custom subscription and onboarding quote instead of using an unsupported per-user estimate. Read the ServiceTitan review.

What to test before enabling automation

  1. Name one workflow. Decide whether the problem is quote follow-up, invoice reminders, missed calls, estimates or dispatch. Compare candidates on the same task.
  2. Check the actual entitlement. Get the plan, users, modules, AI credits, usage fees, phone/messaging costs and onboarding in writing.
  3. Use sample data first. Test duplicate customer names, an incomplete address, a changed job and a cancelled invoice. Prevent accidental sends to real customers while testing.
  4. Choose the human handoff. Decide who checks an estimate, approves a suggested assignment or takes an urgent call. Keep safety-sensitive HVAC diagnosis and customer commitments with qualified people.
  5. Check permissions and privacy. Ask who can see recordings, customer records and reports, how long data is retained and how it is exported or deleted. Verify the controls instead of assuming “AI” means a particular privacy standard.
  6. Measure after rollout. Compare time, missed follow-ups, corrected bookings and cost with the baseline. Keep a clear way to disable a rule or return to human review.

Which candidate should you try first?

For repeated quote/invoice reminders, test Jobber’s documented rules first. For voice/text CRM actions and photo-assisted estimates, test QuoteIQ with credit and plan limits in view. For call handling tied to a Housecall Pro workflow, ask for a live CSR AI demonstration. For requirements-led dispatch optimization, compare ServiceTitan’s Assist Mode before granting automatic assignment.

These are starting points, not claims that one tool is best for every crew. The small/new HVAC guide covers the broader first-tool decision. Our separate article on whether AI can replace FSM software remains separate because it answers a different question.
